Excel vs a CRM for Your Consultancy: When to Switch
An honest look at when Excel and WhatsApp are enough for a consultancy in Nepal, when a CRM pays off, and how to switch without losing your data.

Excel is enough when one or two people handle every student and you can answer any question about a student or a payment from memory. A CRM pays off once several people share leads, follow-ups start slipping, documents scatter across phones, or you can no longer say what each university owes you. The switch is less about size and more about how many hands touch each student.
When Excel is genuinely fine
Excel gets a bad name, but it works well for many small consultancies. It's probably enough if:
- one or two people do all the counseling
- leads arrive through one or two channels you check yourself
- you have few enough active students that you know each one personally
- money is simple: few sub-agents, and commissions you can track by hand
If that's you, a well-kept sheet plus a disciplined WhatsApp group is a reasonable setup. Don't buy software to look bigger.
When Excel starts costing you
The trouble starts when the work is shared. Common signs:
- Two counselors call the same student, or nobody does.
- Different versions of the sheet sit on different laptops.
- Follow-ups are missed because the reminder lived in someone's head.
- Documents are scattered across personal chats. See our document checklist guide.
- Anyone can copy the whole sheet and take it with them when they leave. See protecting your student list.
- Commission questions take a day to answer. See tracking university commissions.
Side by side
| What changes | Excel and WhatsApp | A consultancy CRM |
|---|---|---|
| Cost | Free, but costs staff time | A monthly fee |
| New lead | A message in a group | An alert, and one owner |
| Follow-ups | Remembered | Scheduled, with reminders |
| Documents | Photos in chats | Checklist per country |
| Commissions | Tracked by hand | Tracked from claim to bank |
| Student list | Anyone with the file can copy it | Access by role, exports restricted |
Questions to ask before switching
- What breaks most often today? Choose a system that fixes that first.
- Who will use it every day? If counselors won't open a laptop, the system must reach them where they already are, such as Telegram on their phone.
- How is it priced? Per-user pricing usually means a bigger bill every time you hire. One price for the whole consultancy is easier to plan for.
- Can you leave with your data? You should be able to export it.
How to switch without chaos
- Clean the sheet first. Remove duplicates and fix phone numbers. It's easier now than later.
- Import with a preview. A good import shows each row before saving and skips students who already exist.
- Connect your lead channels so new enquiries start in the new system from day one.
- Pilot with a few counselors for about two weeks, on your own real data.
- Decide with evidence. Did follow-ups improve? Did anyone fall back to WhatsApp? Why?
Our switching guide shows this step by step.
What a switch really costs
The software fee is the visible cost. The hidden costs are time, and they're worth planning for:
- Cleaning your data. Expect a few hours to remove duplicates, fix phone numbers and agree on spellings for destinations and intakes.
- Setting up. Branches, staff, pipeline stages and document lists for each country. With help, this usually takes one to three days.
- Training. Counselors need to learn the new routine. Ask whether training is included, and make sure it covers the daily habits, not only the buttons.
- The first two weeks. Some people will slip back to the old sheet. Agree in advance that the new system is the only place where new leads and notes go.
Questions owners ask
Can we keep using Excel for some things? Yes. Many consultancies keep a sheet for one-off analysis. The point is that the live student record lives in one place.
What if the team doesn't take to it? That is what a pilot is for. Run it with a few counselors on real students, then decide.
