Sub-Agents Keep Calling? Give Them a Link Instead
Sub-agents phone because they can't see their students or payouts. How a private, view-only link can end the daily where-is-my-student call at your consultancy.

Sub-agents keep calling because they can't see anything. They referred a student, and now they're in the dark about where that student stands and when they'll be paid. Give each agent a private, view-only link showing their own students and their own payouts, and most of those calls stop, because the question has already been answered.
The call that eats your afternoon
You know this call. "Dai, what happened with that student from Pokhara?" Someone stops what they're doing, finds the file, and reads out the stage. An hour later the same agent calls again about a different student, or about money.
The agent isn't being difficult. They're running a business and they have promises to keep to their own students' families. Their only way of finding out anything is to phone you.
That adds up to interruptions for your counselors, inconsistent answers depending on who picks up, and agents who feel kept at a distance.
What agents actually want to know
Listen to those calls and they come down to two questions:
- Where is my student? Which stage, which destination, which intake, which university applications.
- When do I get paid? What's due, and what's already been paid.
Neither question needs a conversation. Both need a page.
Why a link beats a login
You could give agents an account, but consider who you're dealing with: a partner in another district who checks in on their phone, maybe a few times a month. Accounts mean passwords, resets and "it's not working" calls, which is the problem you were trying to solve.
A private link is much simpler. The agent asks, you send it, and it opens on their phone with nothing to install or remember.
What the link must not show
This is the part to get right, because your student data is valuable and the agent isn't your staff. Show the minimum:
| Show | Don't show |
|---|---|
| Their own referred students only | Other agents' or walk-in students |
| Stage, destination, intake | Students' phone numbers |
| Applications | Documents |
| Their payouts, due and paid | Fees the student paid you |
| Internal notes and staff names |
Hiding phone numbers matters most. Your relationship with the student should stay with your consultancy. See protecting your student list.
Make the link expire
A link that works forever is a risk. It gets forwarded, it sits in old WhatsApp chats, and the agent may stop working with you. Set up the link so that:
- it expires after a short time, such as 48 hours
- a new link replaces the old one, so only one is ever live
- you can stop it early if a relationship ends
- it's view only, so nothing can be changed through it
"Please ask when you need it" sounds like a hassle, but one short message is far less work than a phone call, and you stay in control of who can see what.
Fix the payout question at the root
A link only helps if the payout information behind it is right. Two rules make it trustworthy:
- Keep each payout locked until the university has paid you. Then "pending" has a clear meaning, and you never pay out money you haven't received.
- Agree the terms in writing up front: fixed or percentage, of what, and when. Our guide to paying sub-agents fairly covers this step by step, and our payout calculator helps you check an amount.
Where deductions such as TDS apply, ask your accountant what's correct and show the agent the amount clearly.
How to roll it out
- Clean up the records. Make sure each student is tagged to the right agent, and payouts match what you've agreed. Fix this first, because agents will spot any mistake.
- Start with your busiest few agents. They make the most calls, so you'll feel the difference soonest.
- Explain it as a benefit. "You can now see your students yourself, whenever you want" lands far better than "please stop calling".
- Redirect gently. When an agent phones with a status question, answer it, then send a link: "This shows all your students, so you don't have to wait for us."
Keep the door open for real conversations, such as a problem with a student or a new referral. You want fewer status calls, not less contact.
How ConsultMarg handles this
ConsultMarg gives each sub-agent a view-only link with no login. It expires after 48 hours, a new link replaces the old one, and you can stop it early. The agent sees only their own students, with stage, destination, intake and applications, plus payouts due and paid, and never documents, phone numbers, fees, notes or staff names. Payouts stay locked until the university has paid. See the money side or book a demo.
Free tool: work out a commission in rupees and a sub-agent's payout with our commission and payout calculator.
